Volunteer Portal Guidelines

1. Use of the Mitchell Shire Council Volunteering Mitchell volunteer gateway

These guidelines set out broad principles for the usage of the Mitchell Shire Council Volunteering Mitchell Gateway.

Mitchell Shire Council (hereafter referred to as ‘Mitchell Shire Council’ and ‘Council’) is committed to supporting volunteers and voluntary services, including well-functioning technology; communications and management systems; and quality human resource practices.

1.1 Conditions of Partnership and Endorsement

Council has partnered with Be Collective to provide not-for-profit community organisations, incorporated community groups and non-profit community groups operating under the auspice of a not-for-profit community organisation with a centralised volunteer vacancy referral system and to enable potential volunteers to access a central point within Mitchell Shire for local volunteer opportunities.

Conditions of endorsement for community organisations and groups to partner with the Volunteering Mitchell Gateway include:

  • Organisations based within and/ or who directly benefit the community of Mitchell Shire
  • Organisations that have reliable management systems and promote good volunteer practices
  • Organisations that adhere to the National Standards for Volunteer Involvement 2015
  • Organisations that read and consent to the given terms and conditions upon endorsement request
  • Hold (or operate under the auspice of an organisation that holds) relevant insurances for recruiting and accepting volunteers:
    • Personal Accident Insurance
    • Public Liability Insurance

Council will ensure ongoing monitoring of the endorsement of community and volunteering opportunities on to the Volunteering Mitchell Gateway and reserves the right to delete without notice or question an endorsement which contains false, misleading or inappropriate information.

Council does not accept responsibility for volunteer opportunities advertised by independent endorsed community groups and organisations, unless they are seeking volunteering positions with Council itself.

1.2 Security Architecture

The technical specifications of Councils volunteer gateway involves manual renewal and endorsement of community organisations and their given opportunities prior to establishing a live online partnership.

At any point, Council is able to remove, ban, and delete users as required and without notice. In addition, Council has the capacity to control the administration rights of authorised users from the administration back end of the platform.

2. Recruitment and selection

Mitchell Shire Council is committed to equal opportunities and believes that volunteering should be open to all regardless of age, gender, ethnicity, ability, religion and political beliefs.

Recruitment practices for Council volunteers will be in accordance with the Mitchell Shire Council Volunteer Policy (PDF download).

Mitchell Shire Council does not accept responsibility for volunteer opportunities advertised and recruited by independent endorsed community groups and organisations.

3. Training and development

All volunteers and organisations will have access to a number of relevant policies and guidelines relating to volunteering, health and safety, child protection and equal opportunities via the resources tab on the volunteer gateway.

Council is committed to providing necessary resources and information to enable community groups to build capacity and provide ongoing support to volunteers within the community sector.

Access to Council’s community training opportunities will be regularly displayed and updated on the Volunteer Gateway.

4. Record keeping and confidentiality

Council keep and maintain a database of Council volunteer which is captured via the Volunteering Mitchell Gateway. Records will be kept of volunteer details including their full name and email address. The database will be a confidential register of volunteer details which will not be released to parties outside of Council without prior consent of volunteers. Volunteers are required to be registered on the database to be covered by Council’s Insurers.

Depending on the nature of an advertised volunteering position, details regarding next of kin & relevant medical conditions which impact on their ability to work, skills and time commitment may also be required, however will strictly not be captured without users consent.

All records will be kept in accordance with the Mitchell Shire Council Privacy Policy and in accordance with the Privacy and Data Protection Act 2018.

5. Disclaimer

www.volunteeringmitchell.com.au is an online volunteer platform for individuals wanting to undertake unpaid volunteer opportunities and for community not-for-profit organisations seeking volunteers within the Mitchell Shire. These are not Council volunteers, unless otherwise stated on the advertisement posted.

Mitchell Shire Council does not accept responsibility for volunteer opportunities advertised by independent endorsed community groups and organisations, unless they are seeking volunteering positions with Mitchell Shire Council itself.

By registering as a Community Organisation, you are confirming that your organisation has, or operated under the auspice of a non-profit organisation who has all the relevant insurances for recruiting and accepting volunteers, inclusive of personal accident insurance and public liability insurance. Any disputes and/or grievances that may arise between the organisation and individual or volunteering groups must be resolved by the parties themselves. Mitchell Shire Council does not take responsibility for settling disputes of this nature.

Mitchell Shire Council will ensure ongoing monitoring of the endorsement of community groups and organisations onto www.volunteeringmitchell.com.au and volunteering opportunities and reserves the right to question any endorsement which contains false, misleading or inappropriate information or remove opportunities or partners from the Gateway without notice.
